The Short Answer: No, Microsoft Does Not Back Up Your Data

This is one of the most common misconceptions about Microsoft 365. Microsoft guarantees platform uptime — that the service will be available — but protecting your actual data is explicitly your responsibility under Microsoft’s shared responsibility model. Your emails, SharePoint files, OneDrive documents, and Teams conversations are not automatically backed up in a way that allows meaningful recovery from accidental deletion, malicious deletion, or ransomware.

What Microsoft Does (and Doesn’t) Do

Microsoft replicates your data across multiple data centres for redundancy. This protects against hardware failure and data centre outages. It does not protect you from:

• Accidental deletion — if a staff member deletes an email or file, it moves to the Recycle Bin and is permanently deleted after 30–93 days depending on the workload
• Malicious deletion — a disgruntled employee or attacker with access to your environment can delete data that cannot be recovered after the retention window expires
• Ransomware — ransomware that propagates through OneDrive sync or SharePoint can encrypt your cloud files, with recovery limited by Microsoft’s version history
• Misconfiguration — accidental policy changes or administrative errors can result in data loss
• Licence expiry — when a Microsoft 365 licence is removed from a user, their data is typically accessible for 30 days before permanent deletion

Microsoft’s Retention Features Are Not the Same as Backup

Microsoft 365 includes features like the Recycle Bin, version history, litigation hold, and retention policies. These are valuable tools — but they are not backup. They have time limits, are subject to administrative errors, and cannot restore data to a specific point in time with the speed and granularity that a proper backup solution provides.

Backups are encrypted in transit and at rest, and are stored in secure, geographically redundant Australian data centres, separate from your Microsoft 365 environment.

How Ransomware Affects Microsoft 365 Data

Modern ransomware increasingly targets cloud storage. When ransomware encrypts files on a user’s device, it can propagate through OneDrive sync to encrypt cloud-stored versions as well. Microsoft’s version history provides some protection, but it has limits and can be defeated by sophisticated ransomware that waits before encrypting. A proper backup with immutable retention provides definitive protection regardless of the ransomware variant.

What Should You Do?

If your business uses Microsoft 365 and does not have third-party backup in place, you should treat this as an urgent gap. The cost of a backup solution is typically a small fraction of the cost of recovering from even a single significant data loss event. Implementing backup is a straightforward process that does not disrupt your existing environment.
